 JOB DESCRIPTION

 

TITLE:                                  HUD/Office Manager/ Residential Services

 

CLASSIFICATION:            Administrative Specialist II

 

SALARY RANGE:              $24,580.00 - $37,401.00

 

SUPERVISOR:                     Director, Residential Services

 

DEFINITION:

 

This is responsible administrative work involving varied duties concerning the program in which the employee is assigned. Primary assignment is with client records, employee may also be assigned to perform duties in other departments/satellite offices.

 

DESCRIPTION OF DUTIES:

 

Provide front desk coverage

 

Greet clients in a courteous and professional manner, providing them any assistance needed.

 

Oversee the clients’ signature on the sign in log for appointments and verify insurance and address changes.

 

Assign new case numbers and put together records for new clients and readmissions.

 

Verify methods of client payment upon client arrival.

 

Collect payments prior to client service.

 

Responsible for making client appointments, rescheduling appointments, and entering appointments in the system.

 

Enter client profiles in the Avatar System.

 

Prepare a copy of scheduled appointments for appropriate staff.

 

Prepare intake packets for appointments.

 

Pull charts for appointment for the following day and during the day as needed.

Assist with collecting and maintaining housing referral information and applications.

 

Assist with collecting rent and fees from the consumers in the Residential Program and the HUD apartments.

 

Write receipts, balance reports, and receipt in money.

 

Assist and verify Recertification of all of the consumers residing in the Supportive Housing Program yearly.

 

Create a spread sheet to track consumers that are moving in and out of the Supportive Housing Program, Evidence Based Program and Transitional Program.

 

Ensure MICRS (Medically Indigent Care Reporting System) is current at all times.

 

Assume custodial responsibility for equipment and assure that equipment is maintained and operational.  Stock adequate level of supplies.

 

Verify Medicaid the day before client appointment.

 

Deliver charts to appropriate staff and collect charts at the end of each work day.

 

Maintain charts for correctness and completeness including recording appointments and filing notes and correspondence in charts.

 

Prepare and handle all outgoing correspondence for mail such as, disability requests and other

Agencies’ request for designated programs.

 

Perform Administrative Review on cases being closed from designated programs.

 

Perform review on open cases every six months if applicable.

 

Assist with correction of chart deficiencies noted in administrative clinical reviews.

 

Responsible for preparing and faxing disability requests within 10 days of date of receipt.

 

Screen calls and take messages.

 

Balance money and receipts at the beginning of each business day.

 

Type as needed.

 

Order supplies as needed.

 

Responsible for ensuring the facility is secured each evening.

 

Responsible for reporting problem through the work order system.

 

Perform other related duties as requested by supervisor.

 

REQUIREMENTS:

 

Working knowledge of office practices.

 

Ability to work independently or with a group.

 

Familiarity with principles and practices of medical records.

 

 

Excellent interpersonal skills and ability to communicate in a courteous manner with all persons, both personally and in writing.

 

Ability to relate well to the public, in person or on the telephone, in a pleasant manner.

 

Basic computer skills including some word processing/basic typing skills.

 

Knowledge of medical billing procedures.

 

 

QUALIFICATIONS:

 

Graduation or GED equivalent from high school, including or supplemented by courses in secretarial business practices, typing, computer and office equipment.  Must hold a valid Alabama Driver’s license and maintain a driving record that is acceptable to the Authority’s insurance carrier.  Must maintain liability coverage on personal vehicles.

 

Must hold and maintain a current Red Cross First Aid/CPR and CPI Certificate.  Must have

MAC I Certificate prior to attaining position.
